Project Closeout

How we finish a project matters as much as how we start it. This procedure ensures every project ends with excellence, documentation, and gratitude.

Procedure Steps

Follow each step in order. If something does not apply to the current situation, note it and move to the next step. If you find a better way, bring it to your group leader so we can improve the procedure for everyone.

Conduct a final walkthrough with the Field Commander and the client. Document any remaining punch list items.

Complete all punch list items within the agreed timeframe. Do not let small items linger — they erode trust.

Compile all project documentation: as-built drawings, warranties, inspection reports, and maintenance guides.

Prepare the final project cost report. Compare original budget to actual costs and document variances.

Process all final invoices and ensure all subcontractors and vendors are paid. Close out the project financially.

Schedule a formal handoff meeting with the client. Present all documentation and walk through maintenance requirements.

Conduct an internal lessons-learned session with the project team. What went well? What would we do differently?

Send a thank-you letter to the client within one week. Ask for a testimonial or referral if the relationship warrants it.

Archive all project files according to the company filing system. Future projects will benefit from this documentation.
