Project Kickoff Procedure

How a project starts determines how it finishes. This procedure ensures every project begins with clarity, alignment, and the right people in the room.

Procedure Steps

Follow each step in order. If something does not apply to the current situation, note it and move to the next step. If you find a better way, bring it to your group leader so we can improve the procedure for everyone.

Schedule the kickoff meeting within 5 business days of contract signing. Include the Watchman, Field Commander, Flow Chief, and key crew leads.

Distribute the project scope, plans, and specifications to all attendees at least 48 hours before the meeting.

Review the contract terms: scope, timeline, budget, and any special conditions. Everyone must understand what we promised.

Walk through the project schedule together. Identify critical milestones, long-lead items, and potential risks.

Assign clear ownership for every major deliverable. No task should exist without a name attached to it.

Review the safety plan specific to this project. Identify unique hazards and required precautions.

Discuss the client relationship: who they are, what they value, and how we will communicate with them throughout the project.

Document all decisions, assignments, and action items from the meeting. Distribute within 24 hours.

Schedule the first progress review meeting. Do not let momentum die after the kickoff.
